What are the main challenges in project planning
The vernacular already says that the second step should never be taken before the first step. As whimsical as that may sound, there is so much truth behind it. Because anyone who has ever faced the challenge of having to plan a project as a self-employed or freelancer, but also as an employed specialist, knows the hurdles and challenges. But he also knows how great the risk of failure is and what risks are associated with it.
Project planning as a challenge
Project planning is one of the two main phases in project management. Before the project is carried out, it actually forms the basis for a project to be successfully completed in the end. For this reason, all project planners should spend a quarter to a third of the total time budget on planning the project in all its details and facets. This starts with the actual definition of the project. The more clearly the specifications and the goal are defined, the more logically and purposefully the individual steps on the way to success can be implemented. This applies to internal projects as part of an entrepreneur or an organization as well as the projects that are implemented for an external client. Above all, it should be discussed with the client exactly what he expects from it. So every work step can be precisely defined.
Make work steps as specific as possible
In everyday life, people often use a to-do list to write down important and things to do. Project planning is too extensive for this sticky note. That is why many planners use software for this. The idea behind it: In a project, all work steps must be recorded in chronological order from A to Z and their implementation must be monitored by a quality management system. The more professionally this is done, the smoother a project will run. The individual steps and stages should be structured as small and comprehensible as possible. This makes it possible that frictional losses can be avoided through the concreteness, but also that there is the opportunity for constant readjustment.
Project planning must capture resources
The recording of resources is an important component of project planning. Which material, which personnel expenditure and which financial costs are associated with the realization of the project? Fixing this early and bindingly with the option of rectification is just as important as setting the specific timing for each measure. This is the only way to prevent the excessive workload and meet the overall deadline. Anyone planning such a project should always appoint a project manager and sub-managers for individual stages. At the end of the day, all of this must lead to a structure plan, which must be agreed with the client and, in any case, after approval, must also be implemented during the implementation of the project.
